Parent Production Committees

The committee descriptions below are designed to help you choose your area of interest. Each committee will be assigned a committee chair to coordinate the required activities. The chairperson will receive a list and e-mail addresses of committee members along with a budget and a detailed description of a “how to” will be distributed to all committee members once assignments are given out. It is important to realize that all PCT parents are essential to the success of this community based group. Parents with younger children are accommodated with responsibilities that can be fulfilled from home.

DVD Sales (1 member): This job is very specific. The responsibilities of this job are to distribute an order form to parents for the purchase of a DVD of the show, collect money (typically on the night we are selling tickets to the cast) and organize a distribution system. In previous years, the distribution was for all parents to pick up their DVD from the chairpersons porch and check off their name that they took their DVD.

Performance Ticket Sales (3 members): We need three people to sell tickets one hour prior to performances and one evening to the general public with one point person to field phone calls regarding available tickets from the public. This team will also need to distribute the pre-printed posters at key locations to alert the public to the performance dates and ticket sale times. A list of locations will be given to you for distribution. All posters must be at locations before our ticket sales date.

Cast Party (2 members): One of the highlights for the actors is the cast party which occurs immediately after the last performance (Sunday). This will require shopping for party goods and food and you must be available to set up, attend and clean up for this event. We will provide the chairperson with a detailed list and quantities. You will also be required to collect a permission slip from the actors. Committee members will need to order tee-shirts and distribute them before party begins. Cast party committee members will also need to coordinate with photographer to run a slide show with pictures taken of cast, crew and volunteers.

Make-up and Hair (10 members): If you like to be part of the back stage excitement, hair and make-up maybe for you. The chairperson for this committee will be responsible for setting up a schedule prior to ticket sales so each committee person knows when they will be needed. This team will help prep our 65 actors with hair and make-up. The committee chair will meet with the directors to determine what is required and will designate a team member as shopper for supplies. We also will add high school students if needed.

Costume committee (12 members): This big group is made up of people who work backstage hemming, pinning, fitting and labeling the costumes for the performers. Sewers are needed, hand sewing or machine sewing would be ideal. We also need committee members to collecting clothing from performers and creative shoppers to buy clothing. Some people who like to shop or are creative with a glue gun can work from home. This might be a good position for parents with little ones. Helpers who can organize are needed too. Each member helps out back stage at 2 of the 5 performance dates (includes dress rehearsals).

Sets (6 members): Handy individuals put together our sets. Carpentry skills are important but helpers are also needed, as well as some shoppers to buy supplies. A few members meet with the director to gain creative direction. On site work doesn’t begin until after the Senior Talent Show (Feb 7th) and all hands pitch in to break down the set after Sunday’s performance.

Set dressing (3 members): A fun committee that makes buys and finds all kinds of interesting things that go on the set. Items could include drapes, pillows, rocking chairs, radios. Some things can be found in your basement, some are purchased, and some are handmade. The director provides a list of necessary items. One member works back stage during each performance to be responsible for the dressings.

Painting (8 members): This group is made up of novice and experienced individuals. We need designers, sketchers and painters. The committee chair will receive guidance from the directors. The painting work is late in the production season, because we need to wait until the sets are finished being made. The work is done in the evenings and on a few weekends.

Props (4 members): Props are the items that the actors carry on and off stage. The director provides a complete list of props and the committee purchases or makes them. During the last (2) weeks, the committee sets up “the prop table” and supervises it during rehearsals and shows. The actors always covet those props! Prop committee members are responsible for handing out and taking back all props during performances.

Typist (1 member): Work with the producers to render attendance forms, cast lists, notes home regarding costume requests and other miscellaneous notices.

Publicity (1 member): Write a press release and submit a few articles to the local papers before and after our production. Follow timeline for Pelham Weekly in order to post articles in a timely manner.

Photographers (2 members): Photographers need to appear at several rehearsals and dress rehearsal to take candid shots on stage as well as back stage of all cast members and crew. Photos will be used in a slide show that you have created for the cast party. Also will need to take and give additional photos to publicity member for press releases.

Chaperones for Full Cast Rehearsals (2 members): Would you like to see the backstage practice? Help lead an ensemble group in their lines or dance moves? We’re looking for a few dedicated parents who will attend our full cast rehearsals and follow the directors’ lead.

Program Ad Sales (12 members): Good at sales? Help fill our Playbill with local, interesting ads. Each team member will be given 10-15 businesses in town to approach about buying an ad. Most businesses are happy to support our theater and they renew from the prior year.
